These records are the Graduate School Annual Report to the President.
Authorized Retention:
Send a copy to Archives, retain others for a period of reference value, and then destroy.
These are questionnaires and survey data generated within Graduate School for researching needs and opinions.
Authorized Retention:
Discard raw data when the information has been compiled. Retain final report for a period of reference value at least two (2) years and destroy.
These records document students on fellowships and may contain recommendations, notices of denial or award, renewals, correspondence and miscellaneous information.
Authorized Retention:
Upon termination of fellowship, place award notice and renewals in the student’s regular file (see Authorization 00-012-01). Retain the remaining information for five (5) years and destroy.
4. Graduate And Doctoral Faculty Applications
These records consist of applications and supporting data completed and submitted by the faculty for admission to the Graduate Faculty or the Doctoral Faculty of the University. Also included are recommendations of Ad-Hoc peer groups for approval or denial of membership, transmittal letters, and records indicating final decision.
Authorized Retention:
Retain as part of the faculty member's employee file (see Authorization 00-016-02B), or if filed separately, the file may be microfilmed for security after the final decision on the application is made.
5. Graduate Faculty Senate And Committee Files
These records are minutes, agendas, and other material relating to committee business, correspondence, curriculum changes, etc.
Authorized Retention:
Retain for a period of reference value not to exceed five (5) years, then transfer to Archives.
